- • details of your enquiries, quotes and orders, including the products, quantities and branding requirements;
- • logos, artwork and other files you send us for personalising your products;
- • correspondence between you and our team, including emails and phone calls;
- • your marketing preferences;
- • information about how you use our website, collected through cookies and similar technologies.

How we use your information
We use your information to:
- • respond to your enquiries and prepare quotes;
- • process, produce and deliver your orders, including artwork proofs and approvals;
- • manage your account, invoices and payments;
- • keep accurate business and financial records;
- • improve our products, services and website;
- • send you news, offers and product updates, where you have not opted out;
- • meet our legal and regulatory obligations.
Our lawful basis for using your information
We only use your personal information where the law allows us to. We rely on:
- • Contract: to provide quotes, process orders, produce artwork proofs and deliver your products.
- • Legitimate interests: to respond to enquiries, run and improve our business, keep business records and send relevant marketing to business contacts. You can opt out of marketing at any time.
- • Consent: where we ask for it, such as for certain marketing emails and non-essential cookies. You can withdraw your consent at any time.
- • Legal obligation: for example, keeping financial records required by HMRC.
Who we share your information with
We will never sell, rent or lease your personal information. We share it only with trusted organisations that help us run our business and fulfil your orders, including:
- • product suppliers and decorators who manufacture and brand your products;
- • couriers and delivery partners;
- • providers of our website, customer relationship management, email and IT systems;
- • payment, banking and accounting providers;
- • AI service providers, as explained below;
- • professional advisers, such as our accountants and legal advisers.
These organisations may only use your information on our instructions and must keep it secure. We may also share information where required by law.
Our use of artificial intelligence (AI)
To help us respond quickly and accurately, our team uses business-grade AI tools. These help with tasks such as drafting email replies, summarising enquiries, and preparing quotes and product information. Our current AI provider is Anthropic (Claude), used under a business plan.
- • A person is always in charge. Everything we send you is reviewed by a member of the Mojo Promotions team. We do not make decisions about you using automated processing alone.
- • Your information is not used to train AI. Our provider acts as a data processor under a written data processing agreement. Under that agreement, the information we share may not be used to train its AI models.
- • We keep it to a minimum. We only share the information needed for the task, and we do not knowingly enter sensitive personal information into AI tools.
- • Your artwork and confidential information are handled with the same care as all other information you give us.
If you would prefer that your communications are not handled with the help of AI, please let us know at [email protected] and we will respect your request.
Transfers outside the UK
Some of our service providers, including our AI, email and IT providers, may process information outside the UK, for example in the United States or the European Economic Area. Where this happens, we make sure appropriate safeguards are in place, such as a UK adequacy decision or the UK International Data Transfer Addendum approved by the Information Commissioner.
How long we keep your information
We keep customer and order records for six years after your last order, to meet accounting and legal requirements. Enquiries that do not lead to an order are kept for two years. We keep your marketing preferences until you unsubscribe or ask us to remove you. After these periods, your information is securely deleted.
How to contact us
If you wish to talk to us about any of these matters please visit our contact page and get in touch using your preferred method.
Security
We are committed to keeping your information secure. We have suitable physical, electronic and managerial procedures in place to protect the information we collect, and we only work with service providers who do the same.
